8Lease, Inc. (“8Lease,” “we,” “us,” or “our”) operates a technology platform that helps property management companies manage lease renewals and resident communications. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our platform, including the Resident Hub, AI Concierge, and related services (the “Platform”).
If you are a resident using the Platform, you access it through your property management company (“Operator”). Your Operator may have its own privacy practices; this policy covers 8Lease’s practices only.
2. Information We Collect
We collect the following categories of information:
Information you provide
- Name, email address, and phone number
- Unit number and property address
- Lease preferences, renewal decisions, and move-out intentions
- Messages and responses submitted through the AI Concierge or Resident Hub
Information collected automatically
- Device type, browser, and operating system
- IP address and approximate location
- Pages visited, features used, and interaction timestamps
- Cookies and similar tracking technologies (see Section 7)
Information from your Operator
- Lease start and end dates
- Renewal offer details and pricing
- Communication history provided by the Operator
3. How We Use Your Information
We use the information we collect to:
- Deliver and operate the Platform, including sending renewal communications
- Power the AI Concierge and personalize your renewal experience
- Provide your Operator with visibility into renewal status and resident sentiment
- Improve Platform features, reliability, and performance
- Detect and prevent fraud, abuse, and security incidents
- Comply with applicable laws and legal obligations
- Communicate with you about Platform updates or changes to this policy
We do not sell your personal information to third parties, and we do not use your information for advertising purposes unrelated to your tenancy.
4. How We Share Your Information
We share your information only in the following circumstances:
With your Operator
Your property management company has access to your renewal activity, preferences, and communications submitted through the Platform, as they are the service recipient engaging 8Lease.
With service providers
We use trusted third-party vendors to operate the Platform (e.g., cloud hosting, SMS delivery, analytics). These providers process your data only on our behalf and are bound by confidentiality obligations.
For legal reasons
We may disclose information when required by law, court order, or to protect the rights and safety of 8Lease, our users, or the public.
Business transfers
If 8Lease is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before such a transfer if your rights change materially.
5. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes described in this policy, including for the duration of your tenancy and any applicable legal retention periods. When information is no longer needed, we delete or anonymize it.
You may request deletion of your data at any time (see Section 6). Note that your Operator may have separate retention obligations under their own policies.
6. Your Rights and Choices
Depending on your location, you may have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request correction of inaccurate or incomplete information
- Deletion — request deletion of your personal information, subject to legal obligations
- Opt-out of communications — unsubscribe from non-essential Platform notifications
- Data portability — receive your data in a machine-readable format where applicable

7. Cookies and Tracking
We use cookies and similar technologies to maintain your session, analyze Platform usage, and improve functionality. We do not use third-party advertising cookies.
You can control cookies through your browser settings. Disabling cookies may affect certain Platform features such as staying logged in.

We implement industry-standard technical and organizational measures to protect your information, including encryption in transit and at rest, access controls, and regular security reviews.

9. Children's Privacy
The Platform is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If we learn we have collected such information, we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy periodically. When we do, we will revise the “Last updated” date at the top. Material changes will be communicated via email or a notice on the Platform. Continued use after changes take effect constitutes your acceptance of the revised policy.
